All applicants will receive an email regarding the status of their application. The Admissions office will communicate via the email that was supplied with the applicant’s OMSAS application.
It is the responsibility of the applicant to add queensu.ca to their safe senders list and to monitor their email and all associated email folders (inbox, spam, junk, etc.) during the application process. This includes ensuring that email inboxes are able to receive incoming mail. Applicants who receive an offer must respond by the deadline stipulated in the email. Any offers not answered by the deadline provided will be set to decline. This action cannot be reversed or changed for any reason. No exceptions. For these reasons, it is important that if you change your email from the one appearing on the OMSAS application you let us know. If you wish to update your email address, click here.
Queen's School of Medicine coordinates the first round of offers with all Ontario Medical Schools.
First-round offers of admission would typically be sent in the following months:
March - MD/PhD and MD/Master’s applicants
April - MMTP applicants
May - MD general stream applicants, Indigenous stream applicants, and Queen’s-Lakeridge Health MD Family Medicine applicants
Offers will be delivered on a rolling basis until the class has been filled. Information on an applicant’s waitlist position or any further information relative to our waitlist process will not be provided. Once the class has been filled, an email will be sent to applicants remaining on the waitlist.

Offers of admission may be rescinded if the selected candidate fails to meet any admission requirement or any one of the conditions of their offer.
Simply submitting your documents does not constitute meeting the conditions of your offer. All documents will be reviewed by our office to ensure they meet the criteria of the condition before you can be enrolled. Therefore, it is imperative that you follow the instructions and deadlines listed to ensure your enrollment and participation in the program. Failure to follow the submission instructions and deadlines may result in your offer being rescinded.

How to submit your documents

**NEW THIS YEAR** Submitting to Synergy Gateway Verified Inc.
Queens University has partnered with Synergy Gateway Verified Inc. to provide support and clearance for some (not all) admissions requirements. To have your documents validated you will be required to book an Electronic Requirements Verification (ERV) Review through Verified, a platform that is used by students across Ontario for the purpose of digitally collecting requirements and documentation for verification. Successful applicants who accept their offer of admission will be sent an emailed inviting them to access the Synergy platform in early June.
While access will not be granted to Synergy until early June, we strongly advise successful applicants to begin collecting the required documents as soon as possible.
Submitting directly to the MD Admissions Office
Documents being submitted directly to the MD Admissions Office at queensmd@queensu.ca must be in the following format:
- MUST be in PDF format.
- MUST be titled with your last name, first name, and the name of the document.
(i.e., LAST NAME_FIRST NAME_NAME OF DOCUMENT)
- DO NOT combine documents into one PDF unless specified.
- DO NOT send multiple emails with separate documents. Please wait until you have gathered all the requested documentation and send it in one email.
- Follow the information below for where to send each document.

It is the applicant’s responsibility to notify queensmd@queensu.ca prior to any deadlines if they are experiencing issues with meeting those deadlines with the situation and a course of action. Q. What is Synergy and how does it affect me?
Synergy is a platform that is used by students across Ontario for the purpose of digitally collecting requirements and documentation for verification. Successful applicants will submit some of their required documents to Synergy for verification.
You will use Synergy Gateway to:
- Upload your some of your required documentation for review.
- Book your Electronic Requirements Verification (ERV) review. Synergy Gateway Verified will review the documents that you have uploaded and provide you with a status indicating your eligibility for completion of these requirements. You are encouraged to book your ERV review early, even if you do not have all documentation in place. Do not wait until a week or two before the deadline to book your review.
- Once your review is complete, you will be able to track your ongoing requirements and compliance status.

Q. How do I access Synergy?
Access to the platform will be granted to successful applicants who have accepted their conditional offers in early June. Further instruction will be provided at that time.
Once you have accepted your offer of admission, you can expect to receive an email from Synergy Gateway Verified (SG Verified™) in early June or after with an activation link to create your account in Synergy Gateway. Students who already have an account can access their Synergy Gateway Dashboard however you will not see our requirements listed in the platform until early June.
You will receive an email with the subject line: “Your Access to SG Verified™”. This email will include your login credentials to access your Verified profile. Please check your inbox, spam, and junk mail folders for an email from “Synergy Help Desk”. You will be required to create a new password upon logging in.
This is a time-consuming task, particularly for “entering” students. We strongly advise you to start collecting your required documents as soon as possible. Please do not wait until you have been given access to the platform. It is important to remember that some requirements may take an extended time to complete.
Q. What happens after I gain access to Synergy?
Further instructions will be provided when you are granted access to the platform. To briefly summarize, you will upload some of your required documents and book an Electronic Requirements Verification (ERV) Review. You will be able to refer to your ERV package forms to see what is required. These forms are located under the important forms section of your Verified profile.
Q. What are my responsibilities?
You must complete the following:
- Thoroughly review your requirements.
- Plan ahead! Complete all medical requirements in time for your Electronic Requirements Verification (ERV) review. Ensure you upload a completed AFMC Immunization form signed by your Campus Health Center along with the rest of your required documents to your Verified profile ahead scheduled review date and time.
- Book your review well in advance of the deadline.
- Upload all documentation in advance of your schedule review. You do not need to attend your review. You are scheduling a time and date for your documentation to be reviewed.
- Keep all of your original documents and your electronic copies in a safe place as the School or other clinical sites may request to see them in the future.
- Ensure your requirements are valid throughout the duration of your placement(s).
- When your documentation has been reviewed and you have been cleared, you will be notified via email to your student email account.
Q. Who pays for the costs associated with obtaining my school requirements and for the Electronic Requirements Verification (ERV) Review?
Students are responsible for all costs.
Q. Do I need to make an review with my health care professional?
You need to obtain documentation of all previous vaccinations and bloodwork, so you may need to book an review with your health care provider. This should be done in advance of your clearance review
Q. Who do I submit my requirements to?

For docu,ents being collected through Synergy Gateway Verified platform, students will upload these requirements including an approved AFMC Immunization Form to their profile using the Verified platform, a cloud based electronic platform that digitally collects placement requirements and documentation for verification. Login details for Verified will be sent to your student email in early June. Reviews will be booked through this online platform. Verified acts as the school’s agent in clearing students on their school pre-placement requirements. You will only be cleared on what you have completed and must make a follow-up review to submit any outstanding requirements or documentation.
Your clearance status is registered in Verified’s database. At the end of the review, you will be able to see your status as will the school.
Q. When do I need to have my Electronic Requirements Verification (ERV) Review completed by?
Please log into your Verified profile and proceed to the Important Forms section. There you will be able to see your program specific ERV package that will outline your due dates.
Note: Demand for review times is highest the week leading up to a deadline. Students are encouraged to plan ahead and book reviews well in advance in order to make the deadline. Students also need to be flexible with their schedule when booking an review.
Q. How long will it take me to gather all of my placement requirements?
It may take several weeks (or months) to obtain all of your requirements. Plan ahead!
Start the criminal record check process well in advance of the due date. Register for and attend certification courses in advance of your deadline.
Depending on your personal immunization status, it can take weeks or months to determine your level of immunity and complete all vaccination series. If you have proof of immunization or an immunization record (e.g. yellow card), take it with you to your medical review. If laboratory reports are required, or if immunizations are not complete, delays may occur.
Q. What if I am out of the country or working full-time all summer?
School requirements and submission deadlines are communicated to students in advance of the deadline to give students adequate time to prepare and plan ahead. The Electronic Requirements Verification review is completely virtual and documentation can be uploaded 24 hours a day, 7 days a week. Completion and submission of School requirements is mandatory and the deadline is not negotiable.
The deadline is set to provide the School adequate time to verify and follow-up on students’ clearance status, and complete all other requirements practice sites may have of the School and students.
Q. What do I need to gather for my ERV review?
- An AFMC Immunization Form Completed by an HCP
- Blood Test
- Vaccination Records
- All the requirements listed in your program specific ERV package
Q. I’m not quite sure if I have everything I need for my clearance review. Who can help me?
Please consult your ERV package information for your checklist. You may wish to book an review with your physician to ensure you have everything you need.
Q. What if I don’t have all requirements completed before the deadline?
Offers of admission may be rescinded if the selected candidate fails to meet any admission requirement or any one of the conditions of their offer.
Q. What happens at an review?
The Electronic Requirements Verification (ERV) review is a designated date and time when your documentation will be reviewed. It is NOT an review that you need to attend. Your requirement is to have all documentation submitted in advance of the ERV service date you have scheduled.
A Synergy representative will review all your documents and determine if you can be cleared for placement. Students are to retain all original documentation. You will be notified once the review has taken place. The turn around time for each review status update is 2 business days. This means if you book on a Friday you may not hear back until end of day Monday.
Q. What are the possible outcomes from my initial clearance review?
Pass – you met all your requirements.
Fail – a requirement has not been met or supporting documentation has not been received. You will be required to book a follow up review at additional fees.
Pending – Synergy requires further information from you and has sent you an email indicating what your next steps are
Conditional Pass - You have met a condition that grants you permission to attend clinical with further instructions send to your email about your next steps
Q. Can I cancel or reschedule a review?
Students are able to cancel or reschedule an review from their home page in the calendar box. Please ensure you cancel prior to your review.
Q. I’ve been cleared on all requirements, however one (or more) will expire before the end of the school year. Is this OK?
No. It is the student’s responsibility to ensure that all requirements are valid throughout the duration of all clinical placements. If a requirement will expire during the school year, the student must renew it (before it expires) and submit the updated documentation. Each time you book an review to update your documents it will require a full review at full-service fees. it is advised that students renew everything, so your documents are valid for all your clinical placements in that academic year.
Note: Students must also be aware of when they had their last tetanus/diphtheria/pertussis vaccination. This vaccination must be completed every 10 years and students must ensure their immunizations are up to date.
Q. What if I’m given a status of Fail?
You will receive a list of requirements that you still need to complete. Once done, you must book another review (for an additional fee). Offers of admission may be rescinded if the selected candidate fails to meet any admission requirement or any one of the conditions of their offer.
